Administrative Coordinator

  • Schedule:         Full time 40 hours per week, M-F
  • Location:          Downtown Vancouver

We are seeking an Administrative Coordinator to join our Vancouver team on a full-time basis.  Reporting to the Senior Vice President, Operations & Member Services, your primary function is to provide day-to-day administrative and operational support. To be successful in this position, the candidate must be results-oriented and have the demonstrated ability to effectively and independently prioritize workflow in a busy office environment.

Reporting: Senior Vice-President, Operations & Member Services

Duties include:

General Reception

  • Answer phone, greet guests
  • Order office supplies
  • Organize food for general kitchen and meetings
  • Maintain office filing system, manage couriers and mailing
  • Keep the common spaces tidy, liaise with building manager re maintenance
  • General IT services, liaise with IT technicians
  • Manage boardroom bookings and staff calendars, organize meetings and travel as necessary

 

Database

  • Enter information in CRM and create reports
  • Pull CRM reports as required

 

Member Services

  • Maintain and update membership list
  • Assist in organizing events including catering arrangements and invitations
  • Administer the annual elections process for the Branch Council and assist with AGM

 

 Communications

  • Monitor the general email account
  • Send communication items and surveys via MailChimp and SurveyMonkey
  • Manage and post on various social media platforms

 

Executive Assistance

  • Support SVP with research, communications, and scheduling
  • Support Directors and VP’s with events, travel, and communications

 

Education and Experience

  •  Minimum of two years office experience
  • Post-secondary education and experience in the creative/entertainment industries preferred

  • Communicates effectively and concisely, both orally and in writing
  • Strong organizational, judgment and time management skills
  • Adapts well to a fast paced environment
  • Builds and maintains positive and effective working relationships with internal and external parties
  • Occasional evening/weekend work is required
  • Access to a vehicle is an asset
